Job Title: Account Handler / Insurance Technician - Professional Indemnity

To assist and provide technical support to allocated brokers & others. Answering enquiries, passing on to relevant persons/departments where necessary. Processing the renewal broker’s cases and sending out documentation. Maintain policy checking and chasing lists, keeping up to date at all times. Assisting allocated brokers and colleagues as necessary.
MAIN PURPOSE OF YOUR JOB
To assist brokers &/or clients in the provision of technical and administrative support.
SCOPE OF YOUR JOB
Booking in new business proposal forms - To be booked in on RM with the correct information given, all attachments & emails saved in the client folder then add to spreadsheet and the hyperlink sent to the relevant new business broker.
Policy Checking - Maintaining and checking allocated list, starting with the oldest and checking thoroughly for content and accuracy and send to the client. If incorrect return to the insurer to revise. Chase insurers/policies where necessary. Keeping management appraised of outstanding documentation. Make necessary amendments for Mid Term Adjustments.
Processing Checking - Checking the processing of junior colleagues to ensure accuracy and all details are correct on the system and the documents which will go out to the client. Checking documentation from quotation, proposal forms, terms to client and any other relevant documents/information. Updating documentation for Mid Term Adjustments.
Sending out the renewal client documents - Keep clients and insureds updated, so they are aware of the renewal documents they will be receiving (debit note, VOC, wording &/or policy documents) and making sure all documents attached are correct.
Policy chasing - Chase insurers for policy documents not yet received.
Allocate the list from a spread sheet to Broker Assistants so they know which insurers/policies need to be chased.
Policy Saving -saving the policy documents and emails from the broker support folder, ensuring they are attached the relevant client folder, updating internal systems (date received, policy number etc). For endorsement, check straight away and forward to relevant broker.
Processing - Input all information from quote/control document, check information and produce necessary documentation to be sent to the client (this also includes MTA’s).
Renewing finance; this may include going online and renewing the finance if with Close Brothers: this entails making sure the premium and other details are correct before submitting the loan for finance.
Completing client questionnaires - Check the policy, RM and wording to make sure all details on the questionnaire are correct before being uploaded online and validated.
Client Letters - Create letters for clients where required, e.g. if they have decided not to renew with us a lapse letter will be created through RM.
Tender Letters - Where clients ask for letters to confirm they are able to bid for a tender; this could be to confirm they have PI insurance, or they could obtain a higher limit if needed. A lot of clients also ask for a new Verification of Cover to send to their clients normally with the policy number.
Training New Starters - Train new starters as necessary.
